MEDICAL RECORDS & RECEPTION DIVISION
Division Supervisor: Dr. Tariq Al-Jalifi
This division is concerned with facilitating patients' access to appointments and ensuring that the appropriate service is provided to them, as well as facilitating the doctor's access to the patient's medical record and maintaining the confidentiality of patient information, and this unit helps the faculty member to obtain research information in case of need after taking legal procedures.
Tasks of the Division:
- Booking and organizing appointments and controlling the transfer between the different departments in the clinics.
- Receiving patients, completing the medical record procedures, and directing them to their places of treatment.
- Follow up the circulation of medical records with the various departments within the clinics.
- Auditing and analyzing medical records quantitatively and qualitatively.
- Retrieving records from their places of permanent preservation upon request.
- Indexing and keeping medical records in their designated places.
- Providing doctors with the information, they need for their research after the approval of the college administration.
- Preparing statistics and reports to develop work in medical records and clinics.
- Follow-up of medical reports and sick leaves issued by the college and ensure their validity and quality.
- Preparing periodic reports on the activities and achievements of the division, and the observations and recommendations relating to its development.
- Carrying out any other work assigned by the director of clinics.
STERILIZATION & INFECTION CONTROL DIVISION
Division Supervisor: Dr. Ibrahim Aljulaifi
The Infection Control Division oversees the provision of quality patient care and care by monitoring, controlling and preventing transmission in clinics, and supervises and develops the sterilization center.
Tasks of the Division:
- Develop policies and procedures for infection control in clinics.
- Follow up the implementation of policies and procedures and raise violations.
- Monitoring and studying negative phenomena in clinics and support services.
- Monitor infections, identify their causes, and work to avoid them in the future.
- Training and educating health workers on the application of infection control policies.
- Educating patients, visitors and visitors about the importance of following infection control instructions to prevent the spread of infection within the college.
- Follow up the application of circulars in this field issued by the competent higher authorities.
- Monitor the performance of the sterilization center and work to develop it.
- Submit performance reports on the status of infection control and sterilization center periodically to manage clinics.
MEDICAL WAREHOUSE & MATERIALS DIVISION
Unit Supervisor: Mr. Abdullah Al-Matrafi
Tasks:
1. Applying the rules, regulations, and approved college plan regarding the management of medical supplies and warehouses.
2. Supervising the medical supply unit, warehouses, and the covenant designated for its management in accordance with the regulations and regulations.
3. Organizing the workflow of procurement in the college and organizing the Covenant Follow-up Unit.
4- Supervising the speed of securing the college's purchases from urgent requirements.
5- Raising the needs of the college of dental materials and supplies for the university's procurement department according to the available materials and the needs of the departments in the college.
6. Supervising the attendance and departure of employees in the department.
7. Supervising the development of the foundations for determining the needs of the college based on exchange rates.
8- Coordination with the Procurement Committee at the university on competing with the college's annual needs and securing the college's purchases.
9. Implementing the rules, regulations, executive rules, and forms for the management of medical supplies and warehouses.
10. Supervising the audit of invoices and completing the procedures for raising the dues of institutions, companies, and bodies approved by supplying or performing business for the university.
11. Follow-up of receipt notes for competition and procurement at the college and submit them to the university's procurement department.
12. Supervising the proper functioning of the administration and working to develop it.
13. Preparing a monthly report on the progress of work in the administration to the Vice Dean for Therapeutic Affairs.
14. Assisting the agent in planning and organizing everything that would facilitate the workflow of the medical warehouse and the adequacy of materials.
15. Supervising the reception department in the college and tracking its needs of files and places of storage.
NURSING DIVISION
The division is directly linked with the management of clinics.
Division Supervisor: Mr. Radhi Al-Shamlani
Tasks of the Unit:
1- Supervising the presence of nursing staff in the college.
2- Raising the needs of the college of nursing staff to the Vice Dean for Clinical Affairs in coordination with the Director of Clinics.
3- Communicating with the university administration regarding the affairs and transactions of nurses and their leaves.
MAINTENANCE DIVISION
Division Supervisor: Mr. Radhi Al-Shamlani
Tasks of the Division:
1- Ensure the presence of maintenance engineers in the college during official working hours.
2. Follow up the maintenance of medical devices and clinics and facilitate their concern.
3- Dealing with the maintenance company and other companies supplying devices.
4- Follow-up the work of the cleaning and general maintenance company in the college.
RADIOLOGY DIVISION
The division is directly related to the management of clinics
Division Supervisor: Prof. Abdullah Al-Theeb
Tasks of the Unit:
1- Supervising the application of radiology standards in the clinics and facilities of the college.
2- Educating students and faculty staff about the latest standards and techniques of oral and maxillofacial radiology.
3. Updating the relevant manuals and requirements.
4. Monitoring and following up the implementation of relevant policies and procedures.
5. Preparing a periodic report on the activities of the unit to the Vice Dean for Clinical Affairs.
6. Assisting the agent in planning and organizing everything that would facilitate the functioning of the unit.
COLLEGE LABORATORIES UNIT
The unit is directly linked with the Vice Dean for Clinical Affairs
1- Pre-Clinical Training Laboratories Unit
2- Production Laboratory Unit
Unit Supervisor: Dr. Ahmed Rabah
Deputy Supervisor: Mr. Hadi Al-Harbi
The unit is interested in ensuring that the laboratories in the college work well without malfunctions, as well as the need to communicate with the external laboratory and ensure the presence of technicians and the efficiency of the services provided.
Tasks of the Unit:
1. Follow up the progress of work in laboratories.
2. Applying the general regulations and rules stipulated.
3. Supervising all laboratories and preparing plans and proposals for their development and maintenance.
4. Submit a periodic report to the Vice Dean for Clinical Affairs on the progress of the laboratories' work.
5- Assisting the Vice Dean for Clinical Affairs in planning and organizing everything that would improve the workflow in the college laboratories.
6- Coordination with the Director of the Research Center at the Faculty of Dentistry regarding the regularity of conducting research in the college's laboratories.
7. Follow-up of the external cases laboratory and submit a monthly report on the approved cases and their quality.
8. Reporting to the Undersecretary for Therapeutic Affairs the needs of laboratories in terms of maintenance and materials, and coordinating with procurement and maintenance in this regard.
INTERNS PROGRAM UNIT
The unit is directly linked with the Vice Dean for Clinical Affairs
Unit Supervisor: Dr. Mohammed Abu Al-Qomsan
The Internship Unit aims to graduate distinguished doctors capable of clinical, educational and leadership skills capable of decision-making and treating various cases suitable for them as dentists, and preparing them for the labor market, and the unit also equips interns to pass the Saudi Commission for Health Specialties exams.
Tasks of the Unit:
1- Supervising the training of interns and proposing plans for the development of the program.
2- Follow-up the affairs of interns and consider their problems and seek to solve them in coordination with the Vice Dean for Clinical Affairs.
3- Holding a meeting to prepare the final year students in the college to join the program.
4- Preparing training schedules and coordinating with training bodies inside and outside the college.
5- Preparing schedules of activities and scientific meetings for the program, such as weekly meetings and the annual scientific meeting for internship research, and following up the progress of the work of the groups.
6- Coordination between interns and research supervisors to complete research on time.
7- Holding periodic meetings to communicate with interns to prepare them for the labor market, inform them of job opportunities, and introduce them to the relevant laws and regulations, and the areas of completing postgraduate studies, specialization, medical education and continuing training.
8- Taking over the secretariat of the supervisory committee of the internship-training program, preparing meeting schedules and meeting agendas, and preparing minutes and letters of decisions issued by the committee in cooperation with the chairman of the committee, Vice Dean for Clinical Affairs.
9- Communicate with sponsors of the program's research activities and community dental health.
10- Preparing an annual report on the training program and submitting it to the vice dean of the college.
11- Assisting the agent in planning and organizing everything that would facilitate the functioning of the unit.
CONTINUING MEDICAL EDUCATION AND TRAINING UNIT
Unit Supervisor: Prof. Shahid Ikram
The Continuing Medical Education Unit aims to improve the knowledge, skills and competencies of educational staff and students by providing educational programs and trying to accredit them from the Saudi Commission for Health Specialties.
Tasks:
1- Supporting, organizing, and facilitating the adoption of scientific activities related to continuing medical education and communicating with university officials in this regard.
2- Organizing and holding medical seminars, workshops, training programs, and other scientific activities.
3- Cooperating with local and international medical scientific societies to establish medical activities in the college.
4- Contributing to the development of faculty members, medical staff and students.
HEALTH INSURANCE & INSURANCE UNIT
It is directly linked to the Vice Dean for Clinical Affairs
Unit Supervisor: Dr. Abdullah Al-Turki
This unit is concerned with making the college a medical center specialized in treating medical cases in the field of dentistry, creating a work environment to receive medical insurance cases, working on accrediting the college from the Council of Health Insurance, working on coding and pricing medical procedures, and addressing insurance companies and other bodies in this field.
Tasks of the Unit:
1- Termination of accreditation procedures from the Council of Health Insurance.
2- Coding medical procedures in the college.
3- Approving prices for medical procedures.
4- Qualifying the college to provide medical services in the field of dentistry for patients of insurance companies.
5- Carrying out any tasks assigned to them in this regard.
INTERNAL CONTROL & AUDIT UNIT
It is directly linked with the Vice Dean for Clinical Affairs
Unit Supervisor: Dr. Bassel Taraqji
This unit is concerned with internal control over the progress of work in all units of the Vice Deanship and the need to implement the general objectives of the college, as well as the transfer of observations and plans for reforms in the event of any failure of the units.
Tasks of the Unit:
1. Ensuring compliance with the regulations, instructions, and administrative policies set, including ethical and behavioral policies.
2. Assisting the agency in continuous follow-up and monitoring of the performance of units and divisions.
3. Assisting the administration in achieving its objectives.
4. Securing resources and assisting in their effective use.
5. Monitoring plans, following up on their implementation, identifying the objectives achieved, and studying the reasons that prevented reaching the specified goals
